Organize · Recurring events

set it up once. run it all season.

Make any event repeat weekly, every 2 weeks or monthly. Crews puts each date on the calendar as its own event, so every session keeps its own RSVPs, chat, reminders and check-in.

The same event, typed out every week

Most clubs run on a rhythm: Tuesday track, Saturday long run, a social on the first Thursday of the month. Without repeating events, somebody retypes the same title, time and meeting point every week, and the week they forget is the week nobody turns up.

On Crews you create the series once and choose when it ends, after a number of events or on a date. Every occurrence is a real event with its own headcount and conversation, so this week’s “running five minutes late” doesn’t get mixed up with last week’s. When plans change, edit just this date or this one and every date after it.

How it works

recurring events, step by step.

  1. 1

    Create the first event

Add the title, time, place and any capacity limit, exactly as you would for a one-off event.

  2. 2

    Choose how it repeats

Pick weekly, every 2 weeks or monthly.

  3. 3

    Choose when it ends

End after a set number of events, up to 52, or on a date. Every date appears on the crew calendar straight away.

  4. 4

    Adjust as you go

Move, edit or delete a single date, or change this one and all the following dates in one go.

The details

what you get.

  • Weekly, every 2 weeks or monthly

The three rhythms most clubs run on. Monthly series repeat on the same day of the month, and a series set on the 31st falls on the last day of shorter months.

  • Every date is its own event

Each occurrence has its own RSVPs, capacity limit, event chat, photos, reminders and check-in, so every session gets an accurate headcount.

  • This event, or this and following

Cancel one week for a bank holiday, or move the whole rest of the season to a new start time, without rebuilding the series.

  • Safe across time zones and daylight saving

Series keep the same local start time when the clocks change, so the 7pm run stays at 7pm in spring and autumn.

  • One notification, not fifty-two

When you post a new series, members get a single notification for it instead of one per date.

  • Crew and personal calendars

Repeat events on a crew calendar for the whole group, or on your own personal calendar.

FAQ

questions about recurring events.

Something else? Ask on the public roadmap.

How do I create a recurring event?

Create an event as usual and set it to repeat weekly, every 2 weeks or monthly. Then choose whether it ends after a number of events or on a date. Crews adds every date to the calendar.

How many times can an event repeat?

Up to 52 dates per series, which is a full year of weekly sessions. When a series ends, start a new one for the next season.

Can I change or cancel one date without affecting the rest?

Yes. When you edit or delete an occurrence, choose “this event” to change only that date, or “this and following” to change it and every later date in the series.

Do members have to RSVP to every date?

Yes. Each date is its own event with its own RSVPs, which is what keeps the headcount for each session accurate. People who are going get reminders for that date.

Can I repeat an event on custom patterns, like every Tuesday and Thursday?

Not as one series. Series repeat weekly, every 2 weeks or monthly. For two sessions a week, create two weekly series, one for each day.
