Organize · Invites & join requests

you decide who gets in.

Crews gives you two controlled ways to grow a private group: personal invite links that expire and come with a role, and join requests you approve one by one.

An open link is an open door

The classic group invite link never expires and works for anyone who gets hold of it. Screenshot it once and it can end up anywhere. That is fine for a public community, but not for a paid membership, a team roster or a studio class with limited spots.

On Crews, an invite is made for one person. It is tied to their email address, it works once, and it stops working after the number of days you choose. When people find your private crew on their own, they send a join request instead, and an admin approves or declines it.

How it works

invites & join requests, step by step.

  1. 1

    Create an invite

As a crew admin, enter the person’s email, choose their role (member, moderator or admin) and pick how many days the link stays valid, up to 30.

  2. 2

    Share the link your way

Copy the invite link and send it in a text, a DM or wherever you already talk to that person.

  3. 3

    They sign in and join

The invitee opens the link, signs in with Google using the invited email, and lands in the crew with the role you chose.

  4. 4

    Review join requests

Anyone else who wants into your private crew can send a request. Admins see pending requests and approve or decline them.

The details

what you get.

  • Links that expire

Every invite has an expiry date. A link that is forwarded after it expires, or used a second time, simply does not work.

  • Role on arrival

Invite a co-organizer straight in as a moderator or admin, so you do not have to remember to promote them later.

  • One invite per person

Invites are tied to an email address. You can see which invites are active, used or expired from the crew settings.

  • Join requests for private crews

People who find your crew can ask to join. Nobody gets into a private crew without an admin saying yes.

  • Requests can be withdrawn

Someone who changes their mind can cancel their pending request, and admins can clear old requests.

FAQ

questions about invites & join requests.

Something else? Ask on the public roadmap.

How long does a Crews invite link last?

You choose when you create it, from 1 to 30 days. The default is 7. After that the link stops working and you can create a fresh one.

Can I share one invite link with the whole group?

No, and that is on purpose. Each invite is made for one email address and can be used once. For people you do not know yet, a private crew’s join requests are the better fit, or make the crew public.

Does Crews email the invite for me?

No. Crews creates the link and you send it however you like: a text message, a DM or your existing group chat.

Who can approve join requests?

Crew admins. They see pending requests for their private crew and can approve or decline each one.

Can I invite someone as an admin?

Yes. When you create the invite you choose member, moderator or admin, and the person joins with that role.
